🌟 Organization + Systems = Freedom + Growth
This is one of the core concepts I teach inside my Foundations of Social Selling four-week mentorship, and I’ll be honest…
Even though I’ve always been a naturally organized person, I didn’t realize how much tighter and more intentional my business systems needed to be until things started growing.
And once I tried to teach my team what I was doing?
I realized I had a method but not a duplicate-able system.
That’s when everything changed.
Let’s dig into the exact systems I use so YOU can steal them and make your life 100x easier.
📂 System #1: Your Google Drive Is Your Business Command Center
One of the first—and BEST—things I ever did was creating a Google Drive folder just for my business.
I named mine:
👉 Color Street Team Folder
This idea came from the larger teams in my upline who used Google Drive to store:
- Scripts
- Party templates
- Application instructions
- Behind-the-scenes group content
- Training videos
- Onboarding docs
- Graphics
- Systems walkthroughs
These documents were view-only, so anyone on the team could copy what they needed and personalize it.
So naturally, I copied that system—but made it my own.
Inside my Google Drive, I have:
✔️ Party templates
✔️ Scripts
✔️ Team onboarding checklists
✔️ My power-hour checklists
✔️ Graphics
✔️ Training PDFs
✔️ Anything my team might need
This way, when new teammates join, I don’t reinvent the wheel.
I send one link and BOOM—they have everything.
📝 System #2: Google Forms + Automated Sample System
Game. Changer.
I created a Google Form for sample requests where customers fill out:
- Name
- Address
- Email
- Instagram handle
- Preference info
Then… magic. ✨
When someone submits the form:
- Their info automatically enters a Google Sheet
- I get an email notification
- I ship samples once a week
I set the expectation early that sample shipping happens only once a week.
Never had a complaint.
My sanity? Protected.
🎉 System #3: Standard Party Night (and Mega Parties!)
When I started, I let hostesses choose ANY night.
Tuesday? Friday? Random Sunday at 8? Sure.
…until I realized my life felt chaotic and I couldn’t plan anything personal.
So I claimed:
👉 Monday = Party Night
And that changed everything.
Eventually, I shifted to mega parties:
- One party
- Multiple hostesses
- Higher engagement
- Way less burnout
- Way easier to plan
- No random scattered events
If you run a party-based business, this is the hack you didn’t know you needed.
⏰ System #4: Weekly Power Hour (Non-Negotiable)
This one is HUGE.
Every Thursday night from 8–9 PM EST, my team knows:
🔹 I’ll be on Zoom
🔹 Leading a guided power hour
🔹 Working my business alongside them
Most weeks, I stay an extra 10–15 min after for questions or troubleshooting.
This helps because:
- It gives me a scheduled business hour
- It models leadership and consistency
- It anchors the week for my team
- Everyone knows where to be Thursday nights
- My calendar stays protected
Leaders on my team now run power hours, too—Monday through Friday.
We post a weekly schedule so everyone knows when they can plug in.
Even if you’re brand new, find ONE accountability partner and create your own weekly power hour. It’s transformational.
📌 System #5: My Secret Weapon — Trello
If Google Drive is my command center, Trello is my brain.
Trello is basically a giant wall of digital sticky notes, but BETTER.
You can add:
- Photos
- Links
- Checklists
- Notes
- Due dates
- Labels
- Collaborators
Here’s how I use Trello:
✔️ CRM Board (Customer Relationship Manager)
My categories include:
- New group members
- People to connect with
- Invite list
- Follow-ups
- Party hostesses
- Active parties
- Past parties
- Potential stylists
- New stylists
Each person has their OWN card with:
- Their profile photo
- Their FB/IG profile link
- Notes
- Where they are in my pipeline
GAME. CHANGER.
✔️ Content Board
Organized by:
- Months
- Weekly themes
- Podcast ideas
- Blog ideas
- Reels/tikTok lists
- Email ideas
✔️ Onboarding Board
Divided into:
- Day 1
- Day 2
- Day 3
- Day 4
- Week 1 tasks
- New stylist checklist
✔️ Party Template Board
This is the visual version of my party scripts.
Trello is incredibly powerful especially if:
- You’re easily distracted
- You forget people
- You forget content ideas
- You need visual organization
- You work with others
- You want a virtual assistant someday
And best of all?
You can have 10 free boards. Plenty.
🎥 Bonus System: Answer FAQ With Loom Videos
This is a PRO tip.
Any time a customer or teammate asks me a question more than once?
I record a quick Loom video:
- Showing my screen
- Clicking through where to go
- Explaining the answer
- Copying the link
Then I save that Loom inside my FAQ doc or Trello board.
Next time someone asks?
I send the video link instead of re-explaining everything for the 75th time.
Efficient. Personal. Duplicatable.
💡 Final Thoughts: Systems Give You Freedom
I know systems don’t feel sexy.
But here’s the truth:
✨ Systems are what keep you from burning out.
✨ Systems make your business scalable.
✨ Systems create consistency.
✨ Systems help your team duplicate.
✨ Systems save you HOURS.
Once you set them up—you don’t touch them again.
And THAT frees up time for:
- rest
- fun
- travel
- creativity
- launching new things
- building your team
- real life
Your business should support your life — not consume it.
