451. Cruise Niches & Automated Workflows: Systems, Messaging, and Client Experience with Korrine Johnson, Travel Biz Boss

Published on

Listen to the episode of the podcast here:

If you’ve ever found yourself thinking:

  • “Wait… did I send that final payment reminder?”
  • “Did I actually apply the client’s deposit?”
  • “I KNOW I was supposed to follow up with them…”

…you are not alone.

And honestly? This is exactly why systems matter so much in a travel business.

Recently on my podcast, Passports, Profits & Pixie Dust, I sat down with cruise industry expert and workflow queen Karine Johnson to talk about scaling a travel business, specializing in cruises, and the behind-the-scenes systems that help travel advisors save time, make more money, and actually enjoy running their business again.

What stood out to me most during our conversation was this:

The most successful travel advisors are not always the busiest.
They’re often the most organized.

And if you’re trying to grow your travel business without systems in place? Eventually, the chaos catches up with you.

The “Paper File” Problem in Travel Businesses

Karine shared that she’s met incredibly successful travel advisors who are still carrying around paper files and sticky notes… but they also have no work-life balance and are completely overwhelmed.

Honestly, I get it.

When you first start your travel business, you can keep everything in your head.

You remember:

  • who needs final payment reminders
  • who asked about insurance
  • whose passport expires soon
  • who still needs shore excursion recommendations

But as your bookings grow?
That mental load becomes exhausting.

Especially if you’re balancing:

  • teaching (like I am!)
  • motherhood
  • another job
  • content creation
  • family life
  • or trying to grow your agency team

At some point, your brain cannot be your CRM anymore.

Why Systems Help You Make MORE Money

One thing Karine said absolutely blew my mind.

After implementing automated workflows and templates inside her business, she doubled her revenue.

Not because she suddenly got more followers.
Not because she worked more hours.
Not because she magically became better at sales overnight.

But because she stopped wasting time repeating the same tasks over and over again.

Think about how much time travel advisors spend:

  • typing the same emails repeatedly
  • manually checking payment dates
  • reminding clients about passports
  • explaining cruise check-in
  • answering FAQs
  • sending onboarding information
  • reminding clients to book excursions
  • following up after travel

That time adds up FAST.

And every hour spent doing repetitive admin work is an hour you’re NOT:

  • marketing
  • selling
  • networking
  • creating content
  • building relationships
  • or taking care of yourself

The Client Experience Difference

Here’s the other huge thing systems do:

They elevate your client experience.

Most clients don’t just want someone who can “book a cruise.”

They want someone who makes travel feel EASY.

That means:

  • proactive reminders
  • organized communication
  • clear next steps
  • personalized recommendations
  • destination guidance
  • support before travel
  • and someone who makes them feel taken care of

Karine talked about automated workflows that remind clients about:

  • passport expiration
  • booking shore excursions
  • pet care
  • childcare
  • beauty appointments
  • prescriptions
  • travel insurance
  • cruise check-in
  • onboard booking opportunities
  • and even setting their thermostat before they leave.

And honestly?
THAT is what makes clients come back.

Not just the booking itself.

You Don’t Need to Be Perfect — You Need to Be Consistent

This part really hit me.

Karine said something along the lines of:
“Done is better than perfect.”

And wow… I think so many travel advisors need to hear that.

Because I see advisors constantly waiting until:

  • their branding is perfect
  • their systems are perfect
  • their emails are perfect
  • their website is perfect

…before they start automating or streamlining things.

But imperfect systems are STILL better than no systems.

Even automating one email sequence can save you hours every month.

The Power of Niching Down

Another thing we talked about was specializing.

Karine built a multimillion-dollar cruise business because she stopped trying to be “everything for everyone.”

And honestly? This applies whether your niche is:

  • Disney
  • cruises
  • river cruises
  • Europe
  • all-inclusive resorts
  • luxury travel
  • family travel
  • or group trips

When you become known for something specific:
people remember you.

You stop being “a travel agent.”

You become:

“THE person I know for cruises.”
“THE Disney expert.”
“THE river cruise advisor.”
“THE Europe specialist.”

That positioning changes everything.

What Travel Advisors Should Automate First

If you’re newer to systems, here’s where I’d start:

1. Inquiry Response Emails

Stop rewriting the same “Thanks for reaching out!” email over and over.

2. Deposit & Final Payment Reminders

These are HUGE for reducing stress and missed deadlines.

3. Travel Insurance Communication

Protect your business AND your clients.

4. Pre-Travel Emails

Think:

  • packing reminders
  • check-in reminders
  • excursion reminders
  • app downloads
  • travel tips

5. Welcome Home Follow-Ups

This helps generate:

  • repeat business
  • testimonials
  • referrals
  • future bookings

The Truth About Scaling a Travel Business

Scaling isn’t just about getting more bookings.

It’s about creating a business that can support more bookings without destroying your sanity.

And if you want:

  • consistent growth
  • better client experiences
  • more repeat clients
  • more referrals
  • less overwhelm
  • and more freedom

…systems are not optional.

They are essential.
